Privacy Policy — EventLog

1. Overview

EventLog (“the App”) is a private, internal event management application developed exclusively for use by a specific institution (“the Institution”). This App Admin section is not a public application and is not intended for general use by the public.

This Privacy Policy explains how the App collects, uses, stores, and protects information when authorized users of the Institution use the App.


2. Who This App Is For

This App is strictly intended for:

  • Authorized administrative staff of the Institution
  • Registered participants (students, faculty, or members) of the Institution who have been granted access

This App is available to the general public for event registration. Admin Section is for institute use only.


3. Information We Collect

3.1 Information Provided by Participants

When a participant registers for an event through the App, the following information is collected:

  • Full name
  • Email address
  • Phone number
  • Organization / College name
  • Designation or role
  • Gender
  • Age
  • Address
  • Payment status (Paid / Free / Pending)
  • Any additional notes provided at registration

3.2 Information Generated by the App

  • Registration Number — a unique identifier assigned upon registration
  • QR Code — a unique scannable code generated for event entry
  • Attendance Record — whether the participant attended the event and the time of entry
  • Registration Timestamp — the date and time of registration

3.3 Information We Do NOT Collect

  • Location data
  • Device identifiers or advertising IDs
  • Browsing history or usage analytics
  • Biometric data
  • Financial or payment card information
  • Any data beyond what is listed above

4. How We Use Your Information

Information collected through the App is used solely for the following purposes:

  • To register participants for institutional events
  • To generate and display QR code entry passes
  • To mark and track attendance at events
  • To generate attendance reports for internal administrative use
  • To send event-related communications (reminders, confirmations) via WhatsApp, SMS, or Email when initiated by an administrator
  • To manage event capacity and registration status

We do not use your information for advertising, marketing to third parties, profiling, or any purpose beyond internal institutional event management.


5. How We Store Your Information

All data collected by the App is stored securely on Google Firebase Firestore, a cloud database service provided by Google LLC.

  • Data is stored on Google’s secure, encrypted cloud servers
  • Access to the data is restricted to authorized administrators of the Institution only
  • Participants can only view their own registration and QR code
  • Firebase’s security rules are configured to prevent unauthorized access

6. Data Sharing

We do not sell, rent, trade, or share your personal information with any third party, except:

  • Google Firebase / Google LLC — as the cloud database and hosting provider for the App
  • As required by law — if compelled by a valid legal process, court order, or applicable law

No data is shared with advertisers, analytics companies, or any external organizations.


7. Data Retention

Participant data is retained for as long as it is needed for institutional event management purposes. Administrators of the Institution may delete participant records at any time through the App. When a participant record is deleted, it is permanently removed from Firebase Firestore.


8. Your Rights

As a participant using this App, you have the right to:

  • Access — Request to view the information stored about you
  • Correction — Request that incorrect information be corrected
  • Deletion — Request that your registration and personal data be deleted
  • Objection — Object to the processing of your data

To exercise any of these rights, please contact the authorized administrator of the Institution directly.


9. Security

We take reasonable measures to protect your information from unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Admin access protected by a PIN known only to authorized staff
  • All data transmitted over encrypted HTTPS connections via Firebase
  • Firebase security rules that restrict data access to authorized users only
  • No storage of sensitive financial data (no card numbers, bank details, etc.)

However, no method of electronic storage or transmission is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.


10. Children’s Privacy

This App is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information through the App, please contact the Institution administrator to have it removed.


11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be reflected in the “Last Updated” date at the top of this document. Continued use of the App after any changes constitutes acceptance of the updated policy. Since this is a private institutional application, users will be notified of significant changes by the Institution administrator.
